Overview


The Architectural Review feature allows you to submit architectural review applications from the BuildingLink resident portal. These requests will be automatically received by property staff to send to the Architectural Review Committee for voting and approval. Depending on your property's settings, this feature may or may not be enabled for your property.

Viewing and Submitting Architectural Review Applications

 

To view or submit an Architectural Review Application, go to  Resident Services and select Architectural Review. Here, you will see any application documents from management, along with your drafts, previous applications, and their statuses.  


Note: Depending on your property's settings, you may also receive notifications whenever your application status changes.


To submit a new application, click on the Submit application button.




Next, fill out the form and click the green Submit button when you're done, or click the Save as a draft button to complete the form later (you will not be able to edit your application once it is submitted, but you will be able to add notes).


You will be taken back to the main application submission page, where you will see the status of your submitted applications and drafts. 





Adding Notes to Your Submitted Applications


After submitting your application, you can view notes added by management and add your own notes for management and the approving committee.  


To add a note to a submitted application, go to Resident Services, select Architectural Review,  and click on the application you want to add a note to.


On the top right, you will see a section to add a note. Type your note in the field and click the Save button. You will now see your note in the "Activity Log" section along with any notes from management and status changes made on the application. 


Note: Depending on your properties settings, you may also receive notifications whenever a note is added to your application.






Viewing and Searching Architectural Review Applications (Committee Members Only)

As an Architectural Review Committee Member, you will have the ability to view and vote on applications under review from other residents, along with being able to submit your own review applications. 


To view Architectural Review Applications, go to Resident Services and select Architectural Review.  Here you will see all applications and their status, along with options to search for review applications by unit, date range, type, and status.


You will also see the review progress for each application, and depending on your property's settings, a due date for voting.


 




Adding Notes and Hidden Notes to Review Applications (Committee Members Only)


By default, all notes and votes added by committee members are not shown to residents; they can only be seen by management and the committee. 


To add a note to an Architectural Review application, go to Resident Serviceand select Architectural Review.  You can use the search filters to find the application you want and click on it from the list.

 


On the top right, you will see a text box under Add note. You will also notice that the checkbox next to Hide from residents is already selected for you.  You should only uncheck this box if you want the resident to see your note. Type your note in the text box and click the Save button.  You will now see your note in the  "Activity Log" section along with any notes from management and status changes made on the application. 





Submitting Votes on Review Applications (Committee Members Only)


Committee members will only have the option to vote on applications in the "Under Review" status. To submit a vote on an Architectural Review Application, go to Resident Serviceand select Architectural Review.  You can use the search filters to find the application you want and click on it from the list.




To submit a vote, click Submit vote. On the next page, select your vote option, add final notes (if needed), and click Submit. Once submitted, management and other committee members will see your vote in the  "Committee members" section of the review. Also, depending on your property's settings, committee members will receive email notifications whenever a vote is submitted.
